These policies apply to all members, guests, trial users and visitors on WiseFitt premises. They sit alongside (and are referenced by) your membership agreement and other policies, including your Privacy Policy. WiseFitt may update these policies from time to time for safety, legal compliance, and operational reasons. Continued use of the facility means you agree to follow the current version.

WiseFitt reserves the right to refuse entry, remove a person from the premises, restrict access, suspend membership, or terminate membership where behaviour or actions create risk, disrupt the facility, or breach these policies. (Aligned with your internal risk-management guidance on misconduct and refusal of service.

1. Code of Conduct Policy

WiseFitt is a respectful, inclusive training environment. Everyone must:

  • Treat staff, coaches, members and visitors with respect at all times.

  • Follow staff instructions immediately, especially where safety is concerned.

  • Use equipment as intended and return it after use.

  • Keep language and behaviour appropriate for a mixed public environment.

  • Respect personal space and boundaries.

  • Maintain hygiene standards (towel use where required, wipe down equipment, appropriate footwear).

Not allowed: intimidation, abusive language, discriminatory comments, unwanted advances, deliberate disruption, persistent negative or hostile conduct, or actions that compromise safety.

2. Aggressive or Threatening Behaviour (Zero Tolerance) Policy

WiseFitt operates a zero-tolerance approach to aggression, threats, intimidation, and abusive conduct. This includes (but isn’t limited to):

  • Shouting, swearing at others, confrontational behaviour, intimidation, or bullying

  • Threats (verbal or written), harassment, stalking, or coercive behaviour

  • Physical aggression, pushing, blocking someone’s movement, or damaging property

Immediate action: If behaviour is aggressive, abusive, threatening, or unsafe, WiseFitt may deny entry or end the session immediately and require the individual to leave. Police or security may be contacted if needed. (This matches your internal misconduct process and “safety first” approach.

Follow-up action: Depending on severity and history, WiseFitt may issue:

  • verbal warning, written warning, temporary suspension, final warning, or termination (with no refund beyond contractual terms), and may impose conditions for return (e.g., behaviour agreement).

Health & Safety (Duty of Care) Policy.

For everyone’s safety:

  • You must follow coaching instructions, signage, and safety rules.

  • Do not use equipment you don’t know how to use safely—ask a coach.

  • Do not train in a way that puts others at risk (e.g., dropping weights unsafely, blocking walkways, using equipment recklessly).

  • Report hazards, equipment faults, injuries, or near-misses to staff immediately.

  • If you feel unwell (dizziness, chest pain, faintness, severe pain), stop training and notify staff.

Fitness to train: If staff have reasonable safety concerns, WiseFitt may pause or restrict your participation until it is safe to continue. WiseFitt may request appropriate clearance (e.g., GP/physio note) where relevant, and will aim to offer reasonable alternatives where possible.

4. Harassment, Discrimination and Bullying Policy

WiseFitt does not tolerate harassment, discrimination, or bullying. This includes conduct related to protected characteristics under the Equality Act 2010, and includes:

  • unwanted sexual comments or advances

  • offensive jokes, slurs, repeated disrespectful behaviour

  • repeated unwanted contact, intimidation, or targeting someone in person or online connected to WiseFitt

What we do: Reports will be taken seriously, handled sensitively, and may result in warnings, suspension, termination, and/or contacting authorities where appropriate WiseFitt may take action even if behaviour occurs via messages or online content linked to the facility or staff.

5. Filming / Photography Policy

WiseFitt is a shared space. Members and visitors must respect privacy and consent.

Member filming rules:

  • You may film yourself only if you do not capture other people in a clearly identifiable way.

  • Do not film in changing areas, toilets, or anywhere privacy is expected (strictly prohibited).

  • If someone may appear in your shot, you must obtain their clear consent first.

  • Staff may ask you to stop filming at any time.

WiseFitt marketing content: WiseFitt may take photos/video on site for marketing and communications. Where someone is clearly identifiable and featured as the main subject, consent will be sought where reasonably practical. Anyone may object or request removal by speaking to staff or emailing info@wisefitt.com. (This mirrors your current Privacy Policy filming clause).

Third parties/influencers: From time to time approved third parties may create content on site under staff direction and subject to these rules.

6. Drugs, Alcohol and Intoxication Policy

For safety and safeguarding:

  • Illegal drugs are strictly prohibited on the premises.

  • No one may train or remain on site while intoxicated or under the influence of drugs or alcohol.

  • WiseFitt may refuse entry, end a session, or require you to leave if staff reasonably believe you are under the influence or your behaviour suggests impairment.

Where necessary, WiseFitt may contact emergency services or the police. (Consistent with your misconduct / denial of access guidance).

7. Dress Code and Personal Presentation Policy

Members and visitors must wear appropriate training attire:

  • Clean training clothing that provides suitable coverage for a public gym environment.

  • Closed-toe training shoes (unless a coach has explicitly permitted an exception for a specific activity).

  • Clothing must not present a hygiene or safety issue (e.g., excessively soiled clothing, strong odour that impacts others, unsuitable footwear).

Not permitted: clothing with offensive, discriminatory or explicit slogans/images, or anything that staff deem unsafe for the activity being performed. WiseFitt may refuse participation if attire is unsafe or inappropriate.

8. Use of Lockers and Personal Belongings

  • Lockers are provided for convenience and are used at your own risk.

  • Do not leave valuables unattended. Keep belongings secured and minimise what you bring.

  • WiseFitt is not responsible for loss, theft, or damage to personal belongings unless required by law.

  • Lockers may be cleared at the end of the day. Items left behind may be stored for a limited period and then disposed of or donated.

Prohibited items: illegal substances, weapons, or anything unsafe. Staff may require removal of prohibited items.

9. Complaints Procedure

WiseFitt welcomes feedback and aims to resolve concerns fairly and promptly.

Step 1 — Speak to us (informal):

Where possible, speak to a coach or manager on site so we can resolve the issue quickly.

Step 2 — Formal complaint (in writing):

If not resolved, email your complaint to info@wisefitt.com with:

  • your full name

  • date/time of incident

  • what happened (facts)

  • what outcome you are seeking

Step 3 — Response & review:

  • We aim to acknowledge formal complaints within 3 working days and provide a response within 10 working days (or tell you if more time is needed).

  • Where appropriate, we may investigate using booking logs, CCTV (if available), staff statements, and incident notes.

  • Some outcomes may include an explanation, apology where appropriate, corrective action, policy clarification, staff coaching, or member conduct action.

Behaviour during complaints:

Aggressive, abusive or threatening communication may result in restricted contact and/or membership action under the Code of Conduct.

WiseFitt may take action to protect staff and members, including refusal of entry, removal from site, temporary suspension, or termination. Decisions are made based on safety, behaviour, and operational risk, using objective information where possible.
